Booking, Cancellation and Refund Policy

This Booking, Cancellation and Refund Policy explains the rules that apply when booking, rescheduling, cancelling, or requesting a refund for online Spanish lessons offered by Yurayma Flores Saavedra through Spanish Access.

By booking a lesson or purchasing a class package, the student confirms that they have read and accepted this policy together with the Terms and Conditions, Privacy Policy, Cookie Policy, and any conditions displayed during the booking or payment process.

2. Booking a Lesson

Lessons may be booked through:

  • The booking calendar available on the website.
  • The Spanish Access Student Area.
  • Another method expressly approved by Yurayma Flores Saavedra.

A booking is considered confirmed only when:

  • The booking process has been completed.
  • Any required payment has been approved.
  • The student receives confirmation through the booking system or by email.

Asking about a date or time through email, WhatsApp, or another communication channel does not guarantee that the requested appointment has been reserved.

3. Checking Booking Details

Before completing a booking, students are responsible for verifying:

  • The selected lesson or package.
  • The lesson date.
  • The starting time.
  • The time zone.
  • The lesson duration.
  • The price and currency.
  • The email address used for the booking.

The date and time shown in the final booking confirmation will normally be considered the official appointment details.

Students should contact admin@getspanishaccess.com promptly if they notice an error.

4. Time Zones

The booking system may automatically display available times according to the student’s device settings, browser, or selected time zone.

The student is responsible for confirming that the correct time zone is displayed before completing a booking.

Spanish Access is not responsible for missed lessons caused by:

  • An incorrectly selected time zone.
  • Incorrect device or browser settings.
  • Changes related to daylight saving time.
  • Misreading a booking confirmation.
  • Incorrect information entered by the student.

5. Rescheduling a Lesson

Students may reschedule a lesson when the change is completed at least 12 hours before the scheduled starting time.

Whenever possible, rescheduling should be completed through the Student Area.

All changes are subject to the teacher’s calendar availability.

A request sent through email, WhatsApp, or another communication channel is not considered approved until the change has been expressly confirmed.

6. Cancellations with Sufficient Notice

Students may cancel a lesson without losing the session when cancellation is completed at least 12 hours before the scheduled starting time.

Depending on the type of purchase, the student may:

  • Reschedule the lesson.
  • Return the session to an active package.
  • Receive an equivalent lesson credit.

Cancelling within the permitted period does not automatically create a right to a cash refund.

Any refund request will be considered separately under this policy and any mandatory consumer rights that apply.

7. Late Cancellations

A cancellation made less than 12 hours before the scheduled starting time is considered a late cancellation.

Unless another arrangement is expressly approved because of exceptional circumstances:

  • The lesson may be considered used.
  • The session may be deducted from the student’s package.
  • A separately purchased lesson may be non-refundable.
  • The student will not automatically receive a replacement session.

Repeated late cancellations may result in restrictions on future bookings.

8. Missed Lessons and No-Shows

A student is considered a no-show when they do not attend a confirmed lesson and have not cancelled or rescheduled it within the permitted period.

A missed lesson will normally:

  • Be considered used.
  • Be deducted from an applicable package.
  • Be non-refundable.
  • Not qualify for an automatic replacement lesson.

Students who know they cannot attend should notify Yurayma Flores Saavedra as soon as reasonably possible.

Providing notice after the cancellation deadline does not automatically prevent the lesson from being considered used, although exceptional circumstances may be reviewed individually.

9. Late Arrival by the Student

Students who expect to arrive late should notify Yurayma Flores Saavedra as soon as reasonably possible.

Depending on the circumstances and schedule availability, the teacher and student may agree to:

  • Continue with the remaining lesson time.
  • Shorten the lesson.
  • Reschedule the session.
  • Make another suitable arrangement.

A replacement or rescheduled lesson is not automatic.

Unless another arrangement is agreed, the lesson may still end at its originally scheduled time.

10. Repeated Late Arrival

Repeated lateness may affect the quality and continuity of the learning process.

When late arrival becomes frequent, Yurayma Flores Saavedra may:

  • Discuss a more suitable schedule with the student.
  • Limit lessons to the remaining scheduled time.
  • Decline repeated requests to recover lost time.
  • Ask the student to choose a different recurring schedule.

11. Late Arrival by the Teacher

If Yurayma Flores Saavedra arrives late, the student will not lose the corresponding lesson time.

Depending on availability, the missing time may be:

  • Added to the end of the lesson.
  • Recovered during another agreed session.
  • Returned as lesson credit.
  • Resolved through another arrangement agreed with the student.

12. Cancellations by the Teacher

Yurayma Flores Saavedra may occasionally need to cancel or change a lesson because of illness, emergencies, technical problems, electricity or Internet interruptions, or other circumstances outside her reasonable control.

When the teacher cancels a confirmed lesson, the student will normally be offered one of the following:

  • A new date and time.
  • Restoration of the session to the package.
  • An equivalent lesson credit.
  • A refund for the affected lesson when a suitable alternative cannot reasonably be provided.

A lesson cancelled by the teacher will not be deducted from the student’s package.

13. Technical Requirements

Before a lesson, students are responsible for checking that they have:

  • A stable Internet connection.
  • A compatible computer, tablet, or mobile device.
  • A working microphone.
  • A working camera when required.
  • Access to the email address used for booking.
  • Access to Google Meet or any other platform selected for the lesson.

Students are encouraged to open the meeting link early enough to resolve ordinary access or equipment problems.

14. Technical Problems on the Student’s Side

If the student cannot attend or continue a lesson because of problems involving their:

  • Internet connection.
  • Device.
  • Browser.
  • Microphone.
  • Camera.
  • Software.
  • Email account.
  • Google account.
  • Local settings.

the lesson may continue using the remaining available time.

If the lesson cannot be completed, it may still be considered used unless another arrangement is expressly approved.

A technical problem on the student’s side does not automatically qualify for rescheduling, lesson credit, or a refund.

15. Technical Problems on the Teacher’s Side

If a technical problem attributable to Spanish Access or Yurayma Flores Saavedra prevents the lesson from beginning or continuing, both parties will make a reasonable effort to restore communication.

If the issue cannot reasonably be resolved, the student will normally be offered:

  • A rescheduled lesson.
  • Restoration of the session to the package.
  • An equivalent lesson credit.
  • A refund when another suitable solution is unavailable.

16. Third-Party Services

Bookings, lessons, communications, and payments may depend on third-party services including:

  • Amelia.
  • Google Meet.
  • Google Calendar.
  • PayPal.
  • Email service providers.
  • Hosting and Internet providers.

If an external platform fails, Spanish Access will make a reasonable effort to:

  • Use another communication method.
  • Send another meeting link.
  • Reschedule the affected lesson.
  • Restore the session to the package.
  • Offer another reasonable solution.

The appropriate solution will depend on the duration and effect of the interruption.

17. Class Package Validity

Unless a different validity period is clearly displayed before purchase, class packages are valid for 30 calendar days from the date of purchase.

Students are responsible for scheduling and using all included lessons within that period.

Purchasing a package does not guarantee that a specific day or time will remain continuously available.

Students are strongly encouraged to schedule lessons sufficiently in advance.

18. Expired Packages

Lessons that remain unused after the 30-day validity period will normally expire.

Expired sessions are not automatically:

  • Extended.
  • Transferred.
  • Converted into credit.
  • Replaced.
  • Refunded.

An extension may be approved when:

  • Spanish Access was unable to provide booked lessons.
  • A serious or exceptional personal circumstance affected the student.
  • A technical or administrative error occurred.
  • The teacher and student reach an express agreement.
  • Applicable law requires another outcome.

Extensions are discretionary unless required by applicable law.

19. Package Transfers

Packages are personal and intended for the student who purchased them.

Packages and individual sessions may not normally be:

  • Sold.
  • Shared.
  • Assigned.
  • Gifted.
  • Transferred to another person.

An exception may be approved in writing by Yurayma Flores Saavedra.

20. Cancelling a Package

Cancelling individual lessons and cancelling an entire package are different actions.

Students who wish to cancel an entire package should contact:

Cancelling a package does not automatically trigger a refund.

Any unused sessions, completed sessions, expired sessions, late cancellations, and no-shows will be considered when reviewing the request.

Spanish Access may offer an alternative solution such as:

  • Rescheduling.
  • Extending the package validity.
  • Restoring an eligible session.
  • Providing lesson credit.
  • Approving a partial refund.
  • Approving a full refund where appropriate.

21. General Refund Rule

Lessons that have already been fully provided are normally non-refundable.

The following are also normally non-refundable:

  • Missed lessons.
  • No-shows.
  • Late cancellations.
  • Time lost because of a student’s late arrival.
  • Lessons affected solely by technical problems on the student’s side.
  • Expired package sessions.
  • Sessions treated as used under this policy.
  • Services already fully delivered.

Nothing in this policy limits mandatory refund or consumer rights that cannot lawfully be excluded.

22. Refund Requests

Refund requests are reviewed individually.

Submitting a request does not guarantee that a refund will be approved.

When reviewing a request, Spanish Access may consider:

  • The reason for the request.
  • The purchase date.
  • Any lessons already scheduled.
  • Any lessons already completed.
  • Sessions considered used under this policy.
  • The number of unused sessions.
  • The remaining validity of the package.
  • Whether the purchased service remained available.
  • Whether another reasonable solution was offered.
  • Payment processing circumstances.
  • Exceptional circumstances.
  • Applicable consumer laws.

Refund requests should be submitted as soon as reasonably possible.

23. Situations in Which a Refund May Be Approved

A full or partial refund may be approved when:

  • A duplicate payment was made.
  • An incorrect amount was charged.
  • Spanish Access cancelled a lesson and could not provide a suitable alternative.
  • Spanish Access could not provide the purchased service.
  • A serious technical or administrative error occurred.
  • Exceptional circumstances are accepted.
  • A refund is required by applicable law.
  • Spanish Access and the student expressly agree to the refund.

24. Package Refund Calculations

When a partial refund for a package is approved, lessons already provided or considered used under this policy may be deducted from the amount originally paid.

The refundable amount may therefore be calculated by:

  • Starting with the total amount paid for the package.
  • Deducting the value of sessions already provided or considered used.
  • Deducting any other non-refundable amount permitted by applicable law.
  • Refunding the remaining approved balance.

The applicable calculation will be communicated to the student when a partial refund is approved.

25. Promotions and Discounts

Promotional discounts, coupon codes, or special offers apply only under the conditions displayed when the purchase is made.

If a discounted purchase is partially refunded:

  • Used lessons may be deducted according to the conditions of the promotion.
  • Promotional benefits may no longer apply to the refunded portion.
  • Free or bonus sessions may have no independent cash value.

These provisions will only apply to the extent permitted by applicable consumer law.

26. How to Request a Refund

Refund requests must be sent to:

The request should include, when applicable:

  • Student’s full name.
  • Email address used for the booking.
  • Payment date.
  • Lesson or package purchased.
  • PayPal transaction reference.
  • Reason for the refund request.
  • Requested solution.

Spanish Access may request additional information reasonably necessary to review the case.

27. Refund Decisions

After reviewing the request, Spanish Access may offer:

  • A rescheduled lesson.
  • Restoration of an eligible package session.
  • An extension of package validity.
  • An equivalent lesson credit.
  • A partial refund.
  • A full refund.
  • Another solution agreed with the student.

Whenever reasonably possible, the parties will first attempt to find a practical and fair solution.

28. Refund Method

Approved refunds will normally be processed using the original payment method whenever reasonably possible.

For payments made through PayPal, approved refunds will generally be initiated through PayPal.

When the original payment method cannot reasonably be used, another method may be agreed between the parties.

29. Refund Processing Time

Spanish Access will initiate an approved refund within a reasonable period after the refund decision has been confirmed.

The time required for funds to appear in the student’s account may depend on:

  • PayPal.
  • The student’s bank.
  • Card issuer.
  • Payment currency.
  • International processing.
  • Original payment method.

Spanish Access cannot control delays caused by third-party payment providers after a refund has been properly initiated.

30. PayPal Disputes and Chargebacks

Students are encouraged to contact admin@getspanishaccess.com before opening a PayPal dispute or requesting a chargeback whenever reasonably possible.

This allows both parties to review the booking, payment, attendance records, and requested solution directly.

Submitting deliberately false, misleading, or fraudulent information in connection with a dispute may result in:

  • Suspension of access to Spanish Access services.
  • Cancellation of future bookings.
  • Restrictions on future purchases.
  • Submission of relevant booking, payment, communication, and attendance records to PayPal or another payment provider.

Nothing in this section prevents a student from exercising legitimate rights available through PayPal, their card issuer, their payment provider, or applicable law.

PayPal’s current Seller Protection terms allow certain intangible goods and services to qualify when applicable requirements are met, and PayPal may request evidence that the service was provided or the order was fulfilled.

31. Consumer Withdrawal Rights

Students may have statutory withdrawal or cancellation rights under the laws of their country of residence.

For example, consumers in the European Union generally have a 14-day withdrawal period for distance contracts for services, subject to exceptions and conditions established by consumer law.

Nothing in this policy is intended to exclude, waive, or restrict any consumer right that cannot legally be limited.

Where applicable, a student who books a lesson or purchases a service that is scheduled to begin before the end of a statutory withdrawal period may be asked to expressly request that performance begin during that period.

If the student expressly requests early performance and later exercises a valid withdrawal right, applicable law may permit Spanish Access to charge a proportionate amount for services already provided.

Where a service has been fully performed, withdrawal rights may cease where permitted by applicable law and where any legally required prior consent and acknowledgment have been obtained.

32. Exceptional Circumstances

Spanish Access may consider special arrangements in situations involving:

  • Serious illness.
  • Family emergencies.
  • Extended electricity failures.
  • Extended Internet outages.
  • Natural disasters.
  • Serious travel emergencies.
  • Other significant circumstances outside the student’s reasonable control.

Possible arrangements may include:

  • Rescheduling.
  • Extending package validity.
  • Restoring a session.
  • Providing lesson credit.
  • Approving a partial refund.
  • Approving a full refund.

Each situation will be reviewed individually.

An exception granted in one case does not permanently modify this policy or guarantee the same outcome in another case.

33. Booking, Attendance and Payment Records

Spanish Access may retain and use reasonable booking, payment, email, calendar, platform, and communication records to review matters involving:

  • Attendance.
  • Cancellations.
  • Rescheduling requests.
  • Confirmation notices.
  • Payment status.
  • Refund requests.
  • Technical incidents.
  • PayPal disputes.
  • Chargebacks.

These records can also help demonstrate that an online service was booked, made available, or provided if a payment dispute occurs. PayPal specifically identifies evidence of delivery or completion as relevant for certain disputes involving services and intangible goods.

Personal information contained in these records will be handled according to the Spanish Access Privacy Policy.

34. Student Area

Students may be provided access to the Spanish Access Student Area to:

  • View upcoming lessons.
  • Manage bookings.
  • Schedule sessions included in an active package.
  • Review package information.
  • Access other booking-related features made available through the platform.

Students are responsible for maintaining the confidentiality of their login credentials.

Access to the Student Area does not extend the validity of an expired package or modify the cancellation and refund conditions established in this policy.

35. Policy Changes

This policy may be updated when:

  • Booking procedures change.
  • Package conditions change.
  • Payment methods change.
  • New teaching or scheduling tools are introduced.
  • Legal requirements change.
  • Existing provisions require clarification.

The current version will be published on this page with an updated revision date.

Changes will normally apply to future bookings and purchases.

The conditions displayed and accepted at the time of a completed purchase will generally continue to apply to that purchase unless applicable law requires another outcome.
